Access & Collaboration

This guide explains how users access Advanced Analytics dashboard components, keep content organized, and stay up to date with automated delivery of insights in Salesforce CRM Analytics.

Accessing Dashboards

  • From the Cloudaware UI, open the App LauncherAnalytics Studio.
  • On the Analytics Studio Home page, use:
    • Browse (top‑left) to see all apps, dashboards, lenses, and datasets you can access.
    • Recent and Pinned to reopen dashboards you use frequently.
  • Within Browse, open the app that corresponds to your use case (for example, CMDB, Cost Management, Security) and then select the desired dashboard.

Access to apps and dashboards is controlled by Salesforce permissions and sharing. See RBAC for how analytics access is granted in Cloudaware.

Organizing Work

Use apps and folders to keep analytics content easy to find:

  • Store dashboards, lenses, and their source datasets in the same app (for example, CMDB, Cost Management, Security) so navigation stays intuitive.
  • Use clear, consistent names that reflect module + purpose (for example, “Security – SLA Compliance”).
  • Pin your most important dashboards in Analytics Studio so they show up in Pinned on the home page.

Favorites and Collections

To quickly reopen important analytics content:

  • Favorites and pinned items

    • Mark dashboards, lenses, or apps as favorites so they surface prominently on the CRM Analytics home page or navigation menus.
    • Use Pinned on the Analytics Studio home page for a small set of dashboards you rely on daily.
  • Collections

    • Group related lenses (and, in some orgs, dashboards) into collections that appear as a single tile on the home page.
    • Use collections for thematic sets such as “Executive KPIs”, “Security Posture”, or “Service Reliability”.
    • Subscribe to collections to receive combined email updates covering the first set of lenses in the collection, ordered the way you arrange them.

Staying Up to Date

To keep stakeholders informed without requiring them to log in and search for dashboards every time, use:

  • Subscriptions – schedule email updates from dashboards, widgets, lenses, or collections:
    • Send periodic emails (for example, daily or weekly) with up‑to‑date charts, metrics, and optional CSV attachments.
    • Combine multiple widgets or a small collection of lenses into a single subscription email so recipients see a curated set of KPIs.
    • Manage existing subscriptions from the CRM Analytics home page, where you can adjust frequency, content, and recipients (subject to your permissions).

  • Notifications – configure in‑app and email alerts driven by conditions on dashboard widgets or metrics:
    • Fire alerts when thresholds are crossed (for example, error rate spikes, coverage drops, or adoption falls below target).
    • Use them for near real‑time awareness; unlike subscriptions, notifications are event‑driven rather than purely schedule‑based.

  • Use exports for deeper analysis – when you need raw data instead of snapshots, combine subscriptions or notifications with exports.

Align delivery schedules and alert thresholds with your existing cadences (for example, weekly operations reviews, monthly service reviews, quarterly governance meetings).

Collaboration Patterns

To collaborate on analytics content:

  • Share apps and dashboards with appropriate access levels (Viewer, Editor, Manager) so teams can either consume or help maintain content.
  • Encourage teams to clone existing dashboards into their own app if they want to experiment with filters, layouts, or additional widgets without affecting the shared baseline.
  • Use comments or your existing ticketing/chat tools (for example, Jira, Slack, email) to capture follow‑up actions tied to specific dashboards and KPIs.

Together, these patterns help teams stay aligned on a single source of truth while still allowing localized customization where needed.
